How are tenant & property limits calculated?

Plan limits are based on the number of leasing tenants and properties - the number of primary tenants that you have linked to a property in the system with a lease. There is no limit to the number of secondary tenants you can add either as applicants or even as occupants. In effect, plans limits are based on the number of leases.

What's the difference between buildings and properties?

Because our users have portfolios consisting of many different types of residential (and even commercial) property, we try and keep our terminology fairly generic. We use 'property' to refer to the actual unit that the tenant holds a lease on - this would include things like a single family home, an apartment unit/suite, or a dormitory or room to rent. If you rent detached houses, the house is the property. If you own a duplex or multi-plex, each unit is one property.

Buildings would represent the physical structure that two or more units belong to - if you rent apartments in a high-rise, the 'building' would be the entire apartment building, with each suite being a 'property'. You can link one or more properties in 123Landlord to a particular building record just to provide a way to group them together for data entry and reporting purposes. If you rent single family homes you likely won't need to add any 'building' records in the system, just 'properties'. If you rent a duplex, however, you could create a building record called 'My Duplex' and two property records - 'Unit A' and 'Unit B'.
